Job Summary :

To provide medical assistant and reception services to the clinic by greeting patients, scheduling appointments, activating patient files, and moving patients through a predetermined schedule of appointments. Also responsible for assisting physician in diagnostic testing, examination, education, and treatment of patients in an outpatient clinic setting and to assist in the day to day operations of the clinic.

Essential Functions

  1. Welcomes patients and visitors to the medical office by greeting patients and visitors in person and on the telephone; answers inquiries and refers questions to other staff members.

  2. Schedule Appointments.

    • Schedule appointments for patients in the clinic.

    • Schedule appointments for patients referred to another provider.

    • Schedule procedures for patients as requested by provider.

  3. Assures patient flow by registering patients, verifying appropriate patient information, and checking out patients at end of appointment.

    • Verifies patient demographic and insurance information.

    • Utilizes insurance eligibility software to verify the patient’s insurance plan.

    • Obtains and scans any necessary documents and signatures (photo ID, insurance card, BAMC Services Agreement).

  4. Manage patient charts and electronic medical records.

    • Prepare charts for next day appointments.

    • Obtains records from other facilities.

  5. Assists patients with insurance papers and billing questions.

    a.  Assists in filling out all insurance forms (disability insurance forms, workman’s compensation, off work and return to work, and social security disability forms).

    b.  Assists with obtaining an authorization for office visits, tests, and procedures.

    c.  Creates guarantors as needed for workman’s compensation and third party liability.

  6. Completes chart reviews and performance improvement reviews.

  7. Demonstrates ability to perform all treatments and provide services to level of licensure.

  8. Knowledgeable of medications and their correct administration based on age of the patient and clinical condition.

  9. Communicates appropriately and clearly to nurse managers, nursing staff, and providers.

  10. Consults other healthcare professionals/departments as appropriate to provide an interdisciplinary approach to the patient’s needs.

  11. Documentation meets current standards and practices.

  12. Process reusable instruments.


Other Duties

  1. Opens and sorts all office mail.
  2. Pulls incoming data off fax machine and gives to the appropriate staff member for review.
  3.  Participates in the medical office emergency routine, whenever required.
  4. Additional duties may be assigned by provider or clinic management.

Qualifications

  1. Certified with the American Medical Technologists or the American Association of Medical Assistants.
  2. Excellent communication skills.
  3. Ability to demonstrate proficiency in Microsoft Office, Windows, and other computer operating systems. Epic and Meditech experience preferred.
  4. Working knowledge of medical terminology and procedures required.
  5. Excellent customer relation skills essential.
  6. Ability to type 30 WPM required.
  7. Good sense of organization.
  8. At least two years recent (within 3 years) experience in a surgery clinic.
  9. Current CPR certification.
  10. Personality and demeanor to deal with the public and assist ill, older, or distraught patients.
  11. Good sense of organization.

Potential exposure to Latex products, blood borne pathogens, hazardous materials, and

communicable diseases.
