TITLE:               FILE FLOAT
Department:   Materials Management
Reports to:      Purchasing Manager
Supervises:    No one.
Job Summary:
Responsible for providing clerical support to buyers to include placing phone orders, data entry, filing etc.  Provides vacation/holiday and sick time fill in for Courier, Receiving Clerk and Supply Aide positions.  Because of this, the position is expected to be very flexible in regards to scheduling with frequent call in/call offs.   Also must be willing to change job responsibilities during the day with short notice.  When filling in, must be able to function at essentially the same level as the position being covered.  These jobs can be summarized below:
Receiving Clerk:
Receiving all material delivered to the hospital by outside vendors (except dietary and pharmacy supplies).  Fills and delivers all orders for stock supplies.  Delivers all non-stock supply orders.  Prepares outgoing packages for shipment and maintains proper documentation.  Prepares packages to be sent out via the overnight delivery services.
Supply Aide:
Responsible for the distribution of medical and non-medical supplies.
Responsible for collection and distribution of supplies, mail, equipment and other items between the various BAMC facilities and offices, as well as local clinics, nursing homes and industries.   Also responsible for purchasing special order and non-stock items that can be obtained from local vendors.  Must know all three courier routes.
Essential Functions:
Receiving Clerk: (See Receiving Clerk Job Description for additional detail)
Check plastic racks for department recurring requisitions.
Fills and delivers department orders for stock supplies.
Receives supplies from all vendors except those that are Dietary Department related.
Maintains proper shelf location of stocked supplies in Materials Management computer system.
Is responsible for calling for pick-up and the sending of all outgoing packages and maintains the proper records.
Takes inventory of stocked items when directed by the Purchasing Manager.
Supply Aide: (See Supply Aide Job Description for additional detail)
Provides supplies and materials, including IV’s to Nursing Floors in an accurate and expedient manner, meeting the time frame projected by the Department Director.
Restocks nurse servers maintaining supplies to required par levels specified on the issues work sheet(s).
Re-supply the supply cart used for delivery of supplies to the nurse servers.  Enter quantities of supplies issued per department on computer.
Exchange supply carts daily.  Refill used carts by par levels specified for each nursing unit.  Enter quantities of supplies issued per department on computer.
Replenish stock in storage cupboards every other day or as use requires.  Enter quantities of supplies issued per department on computer.
Courier: (See Courier Job Description for additional detail)
Picks up and delivers mail, supplies, equipment, x-ray films, drugs, instruments, lab specimens & other items according to the attached routes and schedules described in Attachments A, B & C.  File Floats will be the replacement/back-ups for Couriers 1, 2 & 3.  The Courier routes and schedules are subject to change at any time.
Prepares all outgoing letter mail for pick-up (primarily Courier 2).
Picks up and distributes all incoming USPS mail, interdepartmental mail and timecards (primarily Courier 2).
Picks up daily deposits from the Cashiers and delivers them to the appropriate financial institutions (primarily Courier 1).
Organizes orders for non-stock items to be purchased from local vendors. Purchases these items and delivers them to Materials Management.  Completes paperwork related to these purchases.  Will also make occasional pick-ups for copy paper and other items (primarily Courier 1).
Maintains equipment and motor vehicles used by the couriers (primarily Courier 1).
File Float:  These functions are only performed when time permits and all other positions are not needing assistance.
Filing of all hospital purchase orders.
All purchase orders created during a day are filed by 12:00 noon the following working day.
Filing of all service contracts and agreements.
Service contracts and agreements are filed during the same day as given by the Purchasing Manager, Purchasing Agent or Director.
Filing of vendor catalogs.
Files catalogs within one day of arrival.
Boxing of old purchase orders and end of year filing.
Boxes out-of-date purchase orders for storage at the Menominee facility within two weeks of the end of the month.
Assists Vendors in signing in and getting them to specified departments to visit.
All vendor salespersons are signed in and directed to their scheduled meetings within 15 minutes of their arrival in the Materials Management department.
Additional  Responsibilities:
Assists in the annual inventory of stocked items.
The Purchasing Manager and/or Director may from time to time assign additional duties as needed within the department.
High School Education
Valid Wisconsin or Michigan drivers’ license and an excellent driving record.
Good mathematical, verbal and written communication skills. 
Better than average attention to detail. 
Proven ability to operate a personal computer. 
Lab experience preferred – Courier 3 only
Excellent problem solving, mathematical, verbal and written communication skills.  Must have exceptional phone etiquette skills. 
Proven ability to operate personal computer.  Typing skills of at least 35 wpm.
Must pass a JPA prior to accepting the position.
Ability to operate a motorized forklift.
Ability to lift up to 50 lbs frequently
Prior experience in Materials Management or in a storeroom/warehouse required
Knowledge of medical supplies preferred
Working Conditions: 
Potential exposure to Latex products, blood-borne pathogens, hazardous materials, and communicable diseases.  Also exposure to temperature fluctuations.
